Description
· The Event Manager will be the central organizing coordinator of the yearlong planning process for and implementation of the Bolt.
· The Manager will work in partnership with the president of the Bolt to plan, coordinate and lead all Boulevard Bolt activities throughout the year and working closely with the Steering Committee to ensure full accountability.
In partnership with the president, the Event Manager will:
· Schedule and coordinate monthly Steering committee meetings
· Create and maintain a complete operations manual for use by manager and steering committee. This record should be developed with priority for continuity over multiple years of operation, including timeline for action, contacts with vendors, and budget.
· Create and maintain a budget, participate in process of receiving and paying invoices, keep Steering committee informed on ongoing expenses and budget reporting
· Maintain and update Bolt website, Facebook and social media sites
· Manage sponsor solicitation process and ongoing communication, with support from the Steering Committee
· Continue to develop sponsorship program and identify potential new sponsors
· Coordinate allocation process and communication to recipients
· Coordinate registration process
· Be the primary communication hub for the Bolt (Security, Belle Meade Police, Vendors, Recipients, Sponsors and Media)
· Organize planning and implementation for events including reception, celebrations and dispersal of monies
Job Requirements: The Event Manager position will be a flexible part-time position with more intensive time requirements in October and November. The ideal candidate should have prior experience in event planning and non-profit work with solid organizational and management skills and the ability to work with various constituents. Any prior development or fund-raising experience would be preferred.
· Event Manager must be available for increased hours during October, November and available full time the week of Thanksgiving. Duties extend into December to complete tasks for race.
· The Event Manager is hired and serves at the will of the Steering Committee.
Steering Committee/Board of Directors
The Event Coordinator will report to the Boulevard Bolt Steering Committee, to be comprised of three members of each sponsoring congregation – St. George’s Episcopal, Immanuel Baptist and The Temple. Each year, the role as “lead congregation” rotates among the three congregations. The lead congregation hosts all the planning meetings at their facilities. Each congregation will recruit their own volunteer sub-committees to manage specific jobs including volunteer recruitment, allocations, publicity, race day management, food/water, registration, etc. The Steering Committee will maintain responsibility for securing corporate sponsors and all fund-raising activities.
